Implement your AI Workforce
Outcomes
The roster
An AI employee answers, qualifies, books, responds, or reports without a person doing it each time. Reaching that standard takes configuration: knowledge, capabilities, channels, and the automations that carry work onward. Vendasta Services does that configuration for you, one AI employee per activation.
Eight roles are available today. Conversations AI is the baseline for every one of them, and four roles need a further activation on the account.
| AI employee | What it does | What must be active |
|---|---|---|
| AI Receptionist | Web chat and lead capture, CRM pipeline, booking and service-area connections, automations | Conversations AI |
| AI Inside Sales Representative | A sales persona that qualifies and captures leads and books appointments | Conversations AI |
| AI Support Agent | Customer support across channels, escalations, and lead capture | Conversations AI |
| AI Human Resources Coordinator | Internal HR support and meeting scheduling | Conversations AI |
| AI Reputation Specialist | Review responses and requests, reputation workflows, external-platform support | Conversations AI, plus Reputation AI Premium |
| AI Data Analyst | Conversational insights from CRM, review, and social data | Conversations AI, plus one data source: CRM AI, Reputation AI, Social AI, or Local SEO |
| AI Social Media Manager | An autonomous social content calendar across connected networks, with brand training and approvals | Conversations AI, plus Social AI Premium |
| AI Blogger | An autonomous SEO blog calendar published to WordPress, with brand training and approvals | Conversations AI, plus Social AI Premium and a WordPress site |
Each role has a guide covering its full scope. Start with the AI Workforce documentation when you are scoping a specific one.
A Setup covers a single AI employee, and so does an Optimization Plan. Adding a second role means a second activation. Scope that into your pricing before you quote the client.
Setup or Optimization Plan
Two ways to buy, and you choose one, not both.
| Setup | AI Workforce Optimization Plan | |
|---|---|---|
| What it is | One-time, done-for-you configuration and launch | Ongoing monthly subscription |
| Billing | One-time fee | Monthly fee |
| Setup included | Yes | Yes, delivered in Month 1 at the same scope |
| Ongoing management | No | Yes |
| Best for | Getting an AI employee live and running it yourself | Keeping it accurate as the business changes |
The Optimization Plan already contains a full setup, so purchasing both is buying the same configuration twice. Pick the one that matches who will be tuning the employee six months from now.
What a setup engagement involves
The engagement runs as a short sequence of calls and configuration work. The AI Receptionist is the clearest example, and the shape holds for the other roles.
The initial training call is where the team learns the business and adjusts pre-built lead-capture workflows to fit it. They arrive with the chat receptionist already branded and running so there is something concrete to react to, then refine knowledge sources and communication instructions with you on the call.
Configuration finishes the build: voice settings, a lead capture form for the website, SMS registration, missed-call text-back, and AI Voice capabilities. The team needs access to the back end of the website to install the chat widget and the lead form, so line that up early.
The walkthrough call hands it over. You see where leads land, how to join a conversation, and how to raise tasks for whoever follows up.
The 30-day check-in is the tuning pass. Before the call, the team reads five to ten real conversations and brings specific recommendations about knowledge gaps and custom instructions.
For a United States business, start A2P registration as soon as the order is placed. It validates the use of SMS and can take up to two weeks, so having the legal business information ready at the initial training call keeps the launch date intact.
What the Optimization Plan adds after launch
Setting an AI employee up is the beginning. The value compounds through the tuning that follows, and the plan is where that tuning lives.
- A proactive monthly check-in, where the team asks what changed in the business and confirms the employee is still accurate.
- Unlimited change requests to prompts, automations, and settings. Requests are acknowledged the same business day, with a two-business-day target for standard resolutions.
- Email access to the expert team, so a change does not wait for a scheduled call.
- A live training session for your team, covering how the employee works and how to spot when it needs attention.
Two boundaries are worth knowing before you sell it. The plan covers AI employees the team configured, within the standard scope of tasking, prompts, automations, and settings. An AI employee you built yourself can be brought into coverage through a setup engagement. And the plan is a tuning and operating service rather than a development engagement: custom code, third-party tool administration, strategy consulting, and creative production sit outside it. The AI Workforce documentation lists the full scope on each role's page.
