HVAC: Answer every no-heat call

The HVAC blueprint configures a client account to handle no-heat and no-cooling emergencies safely, send maintenance agreement renewal reminders before they lapse, and reach customers with aging equipment before it fails. It is built for HVAC contractors who offer service agreements, respond to furnace and AC failures, and track equipment install dates.

Watch how the HVAC blueprint handles emergency calls, maintenance plans, and equipment tracking.

Who it's for

HVAC businesses that respond to emergency calls, offer maintenance agreements, and track customer equipment.

What it solves

When a homeowner calls to report the furnace has stopped, the call gets answered immediately and the system checks whether anyone vulnerable to the cold is at home. If someone smells gas, it tells them to leave and call 911. Maintenance plan members get renewal reminders before their agreement expires, and customers with aging equipment are reached before a breakdown happens.

What's included

The HVAC blueprint includes:

  • AI receptionist: answers calls and web chats day and night. Treats furnace failures as urgent and gathers the address, callback number, and details like gas smell or vulnerable occupants. The caller is added to the CRM as a contact.
  • Pipelines: separate tracks for service calls, maintenance agreements, new construction installs, and commercial contracts.
  • CRM custom objects: Equipment / Systems (each furnace, AC unit, or heat pump with install dates, model, and warranty), Commercial Properties, and Service Agreements.
  • Automations: Post-service review request, Maintenance agreement renewal sequence (reminds plan members before they renew), IAQ assessment follow-up, and Equipment age replacement outreach. Automations arrive as drafts for the client to turn on.
  • Campaigns and email templates: tune-up reminders, plan offers, win-backs for customers who have gone quiet, and seasonal messages like pre-winter furnace safety checks.
  • Smart Lists: renewals coming due, aging equipment, lapsed customers, and cooling systems not tuned up this season.
